JOB DESCRIPTION

Post title: Clerk/Receptionist

Post Level: G2

Contract: Fixed-term

Duty station: Beijing, China

Under general supervision of Director of Country Office for China and Mongolia, with direct supervision of the Finance and Administration Officer of the country office, the incumbent will perform the following duties:

1)Operates the telephone switchboard

2)Provides routine and non-technical information and responds to inquiry from visitors

3)Operates the electronic entry control system and controls entry of visitors

4)Prepares boxes or the timely submission of diplomatic pouch

5)Packages, registers and arranges for dispatching of outgoing mails including mails including DHL, registered mails, etc., as appropriate.

6)Receives and organizes materials, including letters and express delivery, for distribution internally to officials.

7)Files documents, reports, papers, books etc., in corresponding files or shelves in pre-arranged order

8)Deals with requests for files and documentation

9)Maintains the stamps imprest account accurately

10)Arranges use of the meeting room

11)Performs other related duties as required

Education: Completion of secondary education

Experience: At least two years of related working experience.

Language: Good knowledge of Chinese and some knowledge of English

Competencies:

Ability to understand and follow work instructions

Knowledge of telephone procedures and work related methods

Ability to use telephone equipment, and computer for word processing and simple

data entry or record keeping

Ability to use tact and be courteous when answering telephone calls and responding

to queries.

Ability to maintain clerical records of moderate complexity.

Ability to respond appropriately to supervision.

Ability to work in a team.
