Background Information – WFP
The World Food Programme (WFP) is the largest humanitarian agency fighting hunger worldwide. Since 1961, WFP has pursued a vision of the world in which every man, woman and child has access at all times to the food needed to lead an active and healthy life. On average, WFP reaches more than 80 million people with food assistance in 75 countries each year. WFP was invited by the Chinese Government to begin joint humanitarian and development activities in 1979, when more than 1 in every 3 people in China were hungry.
Duties and Responsibilities
Under the general supervision of CD of China Office, the Business Support Assistant (HR) will work as part of a team and will report to head of HR Unit. The incumbent will be engaged in a wide range of HR processes and entitlements, and will be responsible for providing support in an accurate and timely manner for the administration of staff members employee-cycle milestones (e.g. on boarding & separation activities, etc.), and operational activities (e.g. attendance and leave management, documentation management, etc). The Business Support Assistant (HR) will take actions in WINGS HR module to reflect changes in entitlements and assignments and review such actions to identify any possible problems or errors.
The incumbent is responsible for, but not necessarily limited to, the following assigned duties:
Provide assistance on general HR queries and follow up actions, to ensure consistent and high quality HR services are delivered to clients.
Liaise with other internal units/offices on HR related matters (e.g. Volunteer& Internships programme, short-term staff management, etc), and provide necessary information in order to enable timely HR services. ,
Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements, and training requirements, to support analysis and reporting needs.
Provide administrative support in various HR activities in the areas of work including on boarding of new staff members in compliance with relevant processes and procedures.
Maintain confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.
Draft various HR documentation required for the specific area of work (e.g. attendance report, etc.) ensuring accuracy and meeting established deadlines.
Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g. contract expiration, etc.), ensuring compliance with the established deadlines and accuracy of HR data.
Support staff deployment and related administrative actions including preparation of basic reports, to facilitate efficient HR service.
Provide help and support for any other duties whenever required.
Education: University degree or above in HR, Business Administration, or other relevant subject. Specialized training in HR desirable.
Experience: Minimum 1 year of relevant working experience in HR or Previous work experience in the UN/international organizations will be considered an advantage.
Skills and competencies:
Ability to work Microsoft Office programmes (Word, Excel, PowerPoint, E-mail) required for work; Ability to prepare preliminary reports and to draft correspondence; Ability to work in multi-cultural environment; Ability to work under pressure, be able to meet deadline, willing to take challenges; Good communication skills with different stakeholders especially local partners.
Performance indicators: Concise reports and correspondence drafted with high quality; Smooth communication and dialogue maintained with the national counterparts; Strong enthusiasm with highly appreciated flexibility and adaptation; Work assignment completed before the deadline.
Language: Fluency in both oral and written communication in English and Chinese.
