Natural Resources Defense Council

Beijing Office

 

The Natural Resources Defense Council (NRDC) is an international nonprofit environmental organization with more than 3 million members and online supporters. Since 1970, our lawyers, scientists, and other environmental specialists have worked to protect the world's natural resources, public health, and the environment. For two decades, NRDC has been a thought leader and trusted adviser to our partners in China. With a highly effective team of more than 30 people based in our Beijing office, NRDC China Program have worked hard at both the national and local levels to recommend, develop, and help implement innovative laws, policies, technologies, and market tools that conserve natural resources, curb pollution and accelerate China's transition to a clean, low-carbon economy. NRDC's Beijing Representative Office is registered under the Beijing Municipal Public Security Bureau and supervised by the National Forestry and Grassland Administration of China.

Position Summary:

 

NRDC is seeking a Program Assistant to work with the China Coal Cap Project team in our Beijing office.

The Program Assistant (PA) will be responsible for supporting the team with event management and project administration. The PA will take ownership of all the details involved in executing a variety of events that the Coal Cap Project organizes throughout the year, including report launches, high-level salons, and our flagship event, the annual coal cap workshop.

This is a full-time consultant position. The selected candidate will be offered an initial term of one year, with the potential to extend based on program needs and funding availability.

Responsibilities:

 

The Program Assistant will be responsible for:

Oversee the planning and execution of all event logistics. This includes, but is not limited to, booking venues, scheduling and leading meetings with vendors and colleagues, providing guidance on meeting materials, communicating with key contact personnel when necessary, managing the execution of program on the day of the event, and managing the execution of post-event wrap up.

Research event-related vendors (catering, online streaming, interpreters, etc.) and manage a roster of vendors to ensure that the most cost-effective service is provided

Manages expenses for each event, creating RFPs, obtaining quotes, and seeking guidance from leadership when needed.

Coordinate employee travel: provide travel information to employees, book hotels and flights/trains, register attendees for conferences, training, etc.

Provide overall support for project operation and administration, including scheduling internal meetings, drafting correspondence and communication documents, printing, filing, and taking notes during meetings.

Undertake additional tasks and responsibilities as assigned by team leaders, and support colleagues as needed.

 

Qualifications:

 

Bachelor’s Degree required

Proficiency in Excel, Word, and PowerPoint

High level of social skills to build and maintain strong relationships both internally and externally

Excellent organization skills and meticulous attention to detail

Experience with organizing meetings on online meeting platforms

Experience in marketing and event planning with proven success preferred
